Training Sites
Version Releases
HelioCampus releases a new version of the Assessment platform to training sites for all Institutions on the first Monday of every other month. This allows Institutions to experience new features and complete adoption planning before the latest version is released to production sites the following calendar month.
Data Refresh
Training site data is refreshed on the first Monday of every other month (once every two months) at 2:00 AM EST to copy and match the production site data. This is done to ensure current training site data for an Institution’s training and testing purposes. Institutions can opt out of the training site data refresh on a per-release basis by submitting a ticket through the Support Portal no later than the 25th of the month before the next refresh is scheduled. For example, to opt out of the training site data refresh scheduled for 2/05/2024, a support ticket must be submitted on or before 1/25/2024.
When submitting a support ticket to opt out of the training site data refresh, select Admin Tools | General Requests from the contact options. Selecting Opt out of Training Site Data Refresh will display the opt-out form.

Production Sites
Production site releases occur for all Institutions one month after the training site release at 3:00 AM EST. The date of a production site release depends on the Institution’s group assignment, which is either Group A or Group B.

Training & Production Sites FAQ
If I configure email notifications on my Training site, will they be sent as configured?
No. Email service integrations are only available on Production sites. Learn more by reviewing the Email Services Integrations guide.
For production releases, how do I know which release group I’m in, A or B?
Institutions are assigned a production release group designation during implementation. Contact Support for assistance in finding your release group designation.
How long is the downtime during releases?
Platform releases typically require approximately 2-3 hours of scheduled downtime.
How many concurrent versions does HelioCampus support?
HelioCampus maintains and supports the three previous versions.
What happens to an Institution’s customizations and configurations during releases?
HelioCampus supports customizations/configurations in every new release unless otherwise specified.
