Programs can be added to the platform via a one-time import during the implementation process. Post implementation, they are manually created within the platform via the Programs page. Programs can be managed by navigating to Main Menu > Assessment > Programs. The following user roles have add/edit permissions:

If View Details from the expanded Actions kebab menu is selected, the View Program Details drawer will open to display quick-glance program information. Associated experiences, outcomes and outcome sets are displayed (1) and whether Program Assessment or Juried Assessment has been enabled (2). If a program is currently being revised, the View Program Details drawer will display a tip banner below the assessment banners. The Outcome Sets section (3) displays the associated outcome sets names, types, and number of outcomes. ![]() Directly below the Outcome Sets section, is an overview of curriculum mapping and Program Assessment (1). The Curriculum Mapping Overview is a mirror of the Mapping by Course and Mapping by Outcome program pages. If a program has one or more assessments in Pending, In Progress or Completed status, the Program Assessment Overview will include a pie chart. The Program Coordinator section displays the Program Coordinator’s name and email. And lastly, the Creation and Update Overview section (2) displays the user who created the program with the creation date; if a program has been updated, the user who updated the program and the associated date will be displayed. Program Statuses
Draft |
When programs are imported during implementation or manually created post-implementation, they are all in Draft status, and edits can be made as needed before publishing via the Program Homepage. While in Draft status, programs can also be published in bulk via the Program Manager. ![]() |
Published |
Once a program is published, edits can no longer be made unless the program is transitioned to a status of In Revision via the Program Hompage. Additionally, if Program Assessments are enabled for the program, they will be generated upon term activation. ![]() |
In Revision |
![]() When a published program is revised, the Program Manager will display the most recent version in Published status and an In Revision version of the same program. During this time, edits can be made to the In Revision version. Program Assessments will continue to generate and run based on the currently published version of the program. Once the In Revision version is published via the Program Homepage, it will be the basis for Program Assessments post-publishing. ![]() |
Pending Action |
Once a program in In Revision status is published, it will transition to a temporary Pending Action status to process the revisions. Once processed, the status will transition to Published. |
Archived |
This status indicates that the program is discontinued. Archiving a program is a manual process performed via the Program Homepage. ![]() Product Tip Archiving a program is a permanent action that an Institution cannot reverse. If a course/ co-curricular activity will be potentially assessed in the future for the program being archived, it is recommended not to archive the program. In the event that a program needs to be unarchived, please contact Support. |

Adding outcome sets to a program via the Outcome Set page enables the creation of relationships between one or more outcome sets and program outcomes. ![]() Outcomes and Courses: Program Learning Outcomes (PLOs) and Performance Indicators are created and related to outcomes via the Student Outcomes page. Archiving a Program

Archiving a program is a permanent action that an Institution cannot reverse. In the event that a program needs to be unarchived, please contact Support.
A program can be archived by navigating to the Program Homepage and selecting Archive from the Actions drop-down menu.

Archiving a program has cross-platform impacts on associated assessments and terms, and the platforms daily batch processes.
Assessments |
When a program is archived, all associated active Program Assessments (e.g. assessments in In Progress or Pending Grades statuses) will automatically be updated to Completed status. |

Upon term activation, assessments for archived programs will not not created; because of this, assignment links will not be copied for assessments that are associated with an archived program. |

Program FAQ
After a program is archived, is reporting data still available for users associated with the archived program?
Yes, users added to a program as Program Coordinators before it was archived will still have access to the program data through reporting post-archiving. Learn more about adding Program Coordinators.
Can users access reporting data for an archived program they are not associated with?
Once archived, users can no longer be associated with a program. Therefore, if a user was not added to a program as a Program Coordinator before it was archived, they cannot access reporting data post-archiving.
If a user requires access to program data through reporting post-archiving, assign the user a higher-level access role than the Program Coordinator role, such as College or Department Admin for the College or Department associated with the archived program. Learn more about user roles.
Why are some Program Learning Outcomes (PLOS) not mapped to assignments as expected and aren’t showing on the survey form?
If a program does not have any student outcomes, then PLOs are not able to be displayed on associated survey forms. After student outcomes have been added, select the Create a new program form and migrate already populated entries option when re-publishing the program.
