Survey Schedules

A Survey Schedule is a plan or timetable that sets the ongoing timing of survey activities. Survey Schedules provide a structured framework for conducting surveys, including the selection of Survey Participants, the distribution and collection of Survey Forms, and the overall timeline for data collection.

Survey Schedules can be managed by navigating to Main Menu > Surveys > Survey Schedules.

During Survey Schedule creation, Survey responses can be configured to be anonymous or the Survey Schedule can be configured to run every Term.

The count of survey instances that are linked to the Survey Schedule. Linked Surveys can be reviewed via the Survey List section of the Survey Schedule Homepage.

Pending: Indicates that the survey is scheduled, but has not yet started collecting responses. Running: Indicates whether a scheduled survey is in progress.

Hovering over the date in the Updated column will display the creation and last updated details.

The status of each Survey Schedule is displayed:

  • Draft: The Survey Schedule has been created but has not been published. Survey Schedules in Draft status can be edited and no Survey Instances will be generated until the Survey Schedule is published via the Survey Schedule Homepage.

  • In Progress: The Survey Schedule has been created and published. Once published, the first Survey Instance will be generated for the Survey Schedule. If the schedule was configured to generate a new Survey Instance every Term, it will continue to generate new Survey Instances upon subsequent Term Activations.

  • On Hold: The Survey Schedule has been paused via the Survey Schedule Homepage Actions menu. When paused, no new Survey Instances will be generated unless the schedule is un-paused.

  • Completed: The Survey Schedule has been permanently stopped via the Survey Schedule Homepage Actions Menu. If a Survey Schedule is stopped, all related Survey Instances will be completed.

  • Archived: The Survey Schedule has been permanently stopped and will be hidden from the Survey Schedule Manager view. Results data will still remain accessible

A Survey Schedule can be created by clicking +Add Survey Schedule.

The manager view can be be exported in PDF or CSV format or printed.

Manage can be clicked to view the Survey Schedule Homepage. Clicking the drop-down presents the following options for selection:

  • Surveys: Clicking Surveys will automatically navigate the user to the Survey Manager; the manager view will be auto filtered to display survey instances that have been linked to the Survey Schedule.

  • Copy: Select Copy to create a new duplicate Survey Schedule using the selected schedule as a template. When copying, users will be prompted to enter a name for the new Survey Schedule.

  • Edit Owner: When a Survey Schedule is created, the owner of a schedule is automatically assigned. Selecting Change Owner will reassign the owner of a Survey Schedule to an user/owner of comparable or lower user access than the user editing the owner.

Survey Schedules can be clicked to return to the Survey Schedule Manager and select a different schedule.

The left-hand menu can be utilized to navigate through various settings for a Survey Schedule.

For Survey Schedules that are in Draft status, the option to click Publish will display. For Survey Schedules with the status of In Progress, the option to un-publish will display.

The Actions drop-down menu is available on all pages when viewing a Survey Schedule:

  • Action items, notes, and files can be attached to a Survey Schedule by selecting the applicable Attach option.

  • When a Survey Schedule is created, the owner of a schedule is automatically assigned. Selecting Owner will reassign the owner of a Survey Schedule to an user/owner of comparable or lower user access than the user editing the owner.

  • Select Copy to create a new duplicate Survey Schedule using the selected schedule as a template. When copying, users will be prompted to enter a name for the new Survey Schedule.

  • Clicking Pause will temporarily pause a Survey Schedule. When paused, new Survey instances will not be generated. For example, if a Survey is only applicable to the Summer Term, it can be paused for all other terms.

  • Clicking Stop will stop a Survey Schedule and will autocomplete any currently running Survey instances. Once a Survey Schedule has been stopped, it cannot be restarted although it can be copied to create a new Survey Schedule utilizing the stopped schedule as a template.

The Export drop-down menu is available on all pages when viewing a Survey Schedule:

  • By clicking the applicable export option from the Overview section of the Export drop-down will export (PDF) or print the page being viewed.

  • Selecting Preview from the Survey Form section of the Export drop-down will display a preview of the Survey Form that will be generated for Survey Participants based off the Survey Schedule.

  • By clicking the applicable export option from the Survey Form section of the Export drop-down will export (PDF) or print the Survey Template.
