Data Collection

Resetting Forms

When resetting data collection forms, the Reset Form pop-up has been updated to clarify the verbiage of the reset options (1):

  • Restart Form and Delete Entries: This reset option will clear ALL previously populated data and bring the form back to the first step in the workflow.

  • Reset Form and Keep Entries Intact: This reset option will keep all previously entered data; a previous step in the workflow can be selected to send the form back to (2).

Reopening Forms

When reopening data collection forms, the Reopen Data Collection pop-up has been enhanced with a new interface, and new functionality is now available for reopening forms. If revisions have been made to one or more of the form objects (e.g., Programs) since a data collection form has closed, the new Form Creation Type step will display actions related to reopening the form and handling existing entries:

  • Keep Existing Forms Tied to the Old Version Without Changes: all forms will stay tied to the existing version and will not reflect revisions from the new version.

  • Create a New Form and Migrate in Already Populated Entries: New forms will be generated and tied to the new version to reflect the revisions, and form entries will be migrated to the new forms.

  • Create a New Form and Start Over With No Populated Entries: New forms will be generated and tied to the new version to reflect the revisions, and no form entries will be migrated to the new forms.

Once the Form Creation Type has been selected, the End Date step allows users to enter a new end date. If no revisions have occurred since a data collection form has closed, the Form Creation Type step will not display, and the Reopen Data Collection popup will only allow entry of a new end date.

Report Library

The new Faculty Activity Summary Report offers an aggregated or disaggregated view of the total number of faculty portfolio entries per component, parent category, or category for each faculty. This report is ideal for understanding the types of content that faculty are populating over a certain period. Institution, College, and Department Admins have access to run this report; College and Department Admins have access to run this report for associated Colleges/Administrative Divisions and Department/Administrative Units.

To enhance the usability of the Report Library, the Annual Assessment and Planning Reports, and the Assessment Data Analysis report have been moved to the Data Collection Reports category. Previously, they were categorized under the Annual Assessment and Planning Reports category, which has now been removed.
