Introduction
This guide will explain the different ways that we can work with you to send email notifications from HelioCampus.
HelioCampus sends various email notifications to administrators, faculty, and students concerning actions they need to take in the various modules of HelioCampus. We will work with you to decide if it is best for us to send the notifications via our email servers or to send them via email servers on your campus.
Email notifications are only ever sent from your production environment. Training environments do not send any emails.
HelioCampus will send all email notifications using the email address applied within HelioCampus at either the Institution, College, or Department level depending on the way you decide to set up the notifications in HelioCampus. These email addresses are addresses within your institution’s domain.
For example:
From name: University Assessment
From/ReplyTo address: heliocampus@university.edu
HelioCampus Notification Service
The majority of our clients choose this method, where the notifications are being sent from our email service.
If you choose this path, please work with your institution’s email security team to make sure that emails from the following server are on your allowed list so that they will be delivered to the intended recipients.
FQDN: notifications.aefis.net
External IP: 173.195.144.181
Optional DKIM integration:
If you require the emails sent by the HelioCampus Notification Service to be signed with the DKIM email security standard, we can work with you to set that up as well.
Please advise on the following:
-
What is the desired selector for the TXT/SPF record? For example, helio_<Institution Name>._domainkey
-
What is the desired domain or subdomain for the TXT/SPF record?
-
Email addresses:
-
If using a subdomain:
-
What is the desired From address for DKIM signing?
-
What is the desired Reply To address?
-
HelioCampus will assume that the Header-From address is the email address that has been applied in the application at Institutions > <Your Institution> > Identity > Institution Email Settings > From Email Address. i.e. heliocampus@yourinstitution.edu
-
-
If not using a subdomain:
-
HelioCampus will assume that the From address for DKIM signing, Header-From address, and the Reply To address is the email address that has been applied in the application at Institutions > <Your Institution> > Identity > Institution Email Settings > From Email Address
-
-
HelioCampus will create a key pair based on the information you provided above and either:
-
Provide you a file with the selector and public key so you can create the TXT/SPF record within your external DNS.
-
HelioCampus can create the TXT/SPF record on the notifications.aefis.net domain and you can setup the desired CNAME record to point to the record we created.
Relay Service
If you desire we can set up our email service to relay the email notifications through one of your email servers.
If you choose this method, please provide us the following information about the relay server we would be connecting to.
