Using a Strategic Plan in a data collection

There are three ways to design the assessment of your Strategic Plan in a data collection:


For Strategic Plan and Strategic Plan Objective form types, the same set of questions will be nested underneath each strategic plan objective, regardless of level or ownership. We can utilize skip logic/filtering to have the questions be unique underneath each objective, if necessary.

Note on the year of a strategic plan

In order to use a Strategic Plan in a Strategic Plan or Strategic Plan Objective data collection, the Academic Year of the strategic plan needs to match the year you are planning to run the data collection.

If an institution is looking to run data collections on the same strategic plan (i.e. they have a 5 year strategic plan), they will either have to:

  • Create 5 exact copies of the strategic plan, one for each academic year so that there are unique forms per year

  • Run one consecutive data collection, either using the workflow to continually route it back or to leave it open for 5 years

Strategic Plan data collection

The Strategic Plan data collection creates a form per user with the assigned role (Strategic Plan Institution Chair, Strategic Plan College Chair, Strategic Plan Department Chair). They are able to answer the same set of questions nested underneath each objective. 

The ownership of the strategic plan depends on who you want to complete the data collection. Permissions support institutional collaboration and transparency, while allowing for individual and sector planning. The ownership of the unique objectives within a single strategic plan does not impact who is able to report on an objective.

For example, if the strategic plan is owned by the Institution, the Strategic Plan Institution Chair will receive a data collection form and be able to answer questions for all the objectives.

If, however, the strategic plan is owned by a college, only the Strategic Plan College Chair for that college will receive the data collection form and answer questions for all objectives (even if owned by the institution or different college).

Strategic Plan Objective data collection

If you would like to have different people reporting on each objective within a single strategic plan, you will need to use the Strategic Plan Objective data collection. This allows you to assign the forms at the objective level, allowing every form to have the same set of questions nested underneath each objective. For this, you will assign the specific objective and the role Strategic Plan Objective Editor.

There will be a form created per objective with only one objective and its nested questions inside each form.

Program data collection

If you want to tie strategic plan objectives to individual programs or Program Learning Outcomes, you can add your Strategic Plan as an Outcome Set within the system. Program data collections create one form per program and allows the Program Learning Outcomes to be automatically pulled into the form. This form type can be used for both Academic and Administrative Programs.

Then, when the Program Learning Outcomes have questions nested underneath, there is a specific form item that allows the user to relate the Strategic Plan outcome set (as well as any other outcome set desired) to the specific PLO.
