Testing and approving a data collection

  1. Review the workflow:

    1. Are the roles associated with the workflow correct? 

      1. Are the assigned workflow roles the right hierarchy and permission levels? Department vs. college vs. institution?

      2. How to read a workflow

    2. Are the workflow options correct? Any missing feedback loops?

  2. Check the spelling and grammar of:

    1. The data collection name 

    2. The steps of the workflow 

    3. Form questions

  3. Test out the form for the following:

    1. How to view a data collection as a user

    2. Is the form and/or form items editable at the necessary steps?  Do the questions appear for the correct steps?

    3. Any typos in the form questions?

    4. Are the correct questions required?

    5. Form per user – What should the structure of the form be? One form per user, one form per business object, or one form per business object (collaborative/multi-user)  

    6. Was there data that needed to be copied forward from a previous data collection? Is the data visible in the correct locations?

    7. Does the form export in the way you need it to? Make sure the survey questions are structured in a way that provides a usable export for your intended reporting purposes. Submit a few forms with test data. Go to the Submitted Forms tab and review the exports. Go to the Report Library and test the Data Collection Detail Audit. 

  4. Review the data collection participants

    1. Is everyone who you expected listed as a participant?
